Document Visibility and Permissions by Role

Understanding which documents are visible to each team member role is important for privacy and data security. This article explains document access permissions for each role in Xodo Sign.

Document Visibility by Role

Super Admin and Manager

Team members with the Super Admin or Manager role can view, download, edit, and cancel all documents in the business - including documents sent by other team members. This includes access to signer email addresses and any data signers enter into the document.

Staff

Staff members can only see and manage their own documents. They cannot access documents sent by other team members, which protects signer privacy and data security across the business.

Read-Only

Read-Only members can view and download all documents in the business (similar to Super Admin and Manager), but they cannot create, edit, cancel, or access the audit trail of any document. This role is intended for team members who need visibility but should not be able to take any action on documents.
