How to Create a Template or Template Link

Templates in Xodo Sign allow you to reuse the same document structure repeatedly without re-uploading files or reconfiguring settings. You can create two types: a standard Template (you control who signs it each time) or a Template Link (a public link that anyone can use to sign on their own).

Template vs. Template Link

  • Template — A reusable document you send to specific signers each time. You choose the recipients when using the template.
  • Template Link — A shareable link that allows anyone with the link to sign without you needing to initiate each time. Supports 1 signer only.

How to create a Template

  1. In the left navigation, click Templates.
  2. Click the New Template button in the top-right corner of the Templates page.
  3. On the New Template page, make sure Template is selected at the top (it is selected by default).
  4. Upload your file — click Choose Files or drag and drop a file into the upload area. You can also import from cloud storage (Dropbox, Box, OneDrive, Google Drive).
  5. In the Roles section, add the roles for your signers (e.g., "Client", "Manager"). Each role represents a signer position in the template.
  6. Optionally, set a Document Title and Message in the Title & Message section.
  7. Under Template Settings, configure:
    • Make this template available to Staff members — checked by default, allows your team to use this template.
    • Prevent Staff members from modifying this template — restricts edits to admins only.
    • Enable signature frame — adds a visible frame around signature fields.
  8. Click Prepare to open the Document Editor and place signature fields for each role, or click Save Draft to come back later.

How to create a Template Link

  1. Follow steps 1–2 above to open the New Template page.
  2. At the top of the page, click Template Link to switch to this type.
  3. Upload your file, configure roles and settings as described above.
  4. Click Prepare to place signature fields, then save.
  5. Once saved, you can access and share the unique Template Link URL from the Templates dashboard.

Managing your Templates

Once created, all templates appear in your Templates dashboard. Each template is labeled to indicate whether it is a regular Template or a Template Link, so you can manage them at a glance.

From the Templates dashboard, you can also bulk-send templates using the Bulk Jobs button.
