Xodo Sign offers two types of reusable document templates: Templates and Template Links. Understanding the difference will help you choose the right option for your workflow.

Standard Templates
A standard Template is a reusable document that you prepare once and send to different signers as needed. Templates are ideal for contracts, agreements, and any document you send regularly to different people.
Key features of standard Templates:
- Support multiple signer roles
- Roles can be pre-filled with specific contact details
- Merge Fields allow you to customize content when sending
- Can be shared with all team members (Global Templates) or kept private (Own Templates)
To use a template, go to Templates in the left navigation menu, find your template, and click Use Template.
Template Links
A Template Link is a special type of template that generates a shareable URL. Anyone who clicks the link can sign the document by entering their name and email address. Template Links can only have one signer at a time.
Template Links are ideal for:
- Waivers and Non-Disclosure Agreements (NDAs)
- Registration forms at a store or event
- Any situation where you want many people to sign the same document independently
In-Person Signing with Template Links
Template Links support In-Person Signing, which lets signers sign directly on your device without needing to verify their email. This is perfect for signing at a counter or kiosk. When In-Person Signing is enabled, the "Send Link" option is disabled for that Template Link.
Which Should I Use?
- Use a standard Template when you need to send a document to specific named signers with defined roles.
- Use a Template Link when you want a self-serve signing experience, where anyone can sign via a shared URL.
