When creating a new document in Xodo Sign, you add the files you want signed directly in the New Document page. This article explains how to upload files, what formats are supported, and how to manage your uploaded files.
How to Upload a File
- From the Dashboard or the Document List, click New Document.
- On the New Document page, go to the Files section on the left side.
- Click Upload Files to open a file browser and select a file from your computer.
- Alternatively, drag and drop a file directly into the Drag and Drop area.
- Once uploaded, the file appears in the Files section with a File Uploaded checkmark.
- You can upload multiple files. The Document Size indicator (e.g., 8 MB / 500 MB) shows your total upload size against the 500 MB limit.
Tip: PDF files are recommended for the best signing experience. PDFs preserve formatting and ensure signature fields are placed correctly.
Supported File Formats
Xodo Sign accepts the following file types:
- .pdf — PDF Document (recommended)
- .docx — Microsoft Word Document
- .txt — Plain Text File
- .png — PNG Image
- .jpg — JPEG Image
- .ppt — PowerPoint Presentation
How to Remove a File
To remove an uploaded file:
- Find the file in the Files section.
- Click Remove next to the file name.
The file is removed from the document immediately.
How to Reorder Files
If you have uploaded multiple files, you can change their order by dragging them. Click and hold the drag handle (the icon on the left of each file row) and move the file to the desired position.
If a File Upload Fails
If a file fails to upload, it will show a Failure status in the Files section. You have two options:
- Retry — Attempt to upload the file again.
- Remove — Remove the failed file and try a different one.
Troubleshooting File Upload Issues
- File type not supported: Make sure your file is in one of the supported formats listed above. Convert unsupported files (such as .xlsx or .pages) to PDF or DOCX before uploading.
- Document size limit exceeded: The total document size limit is 500 MB. If you are close to the limit, try compressing your PDF or reducing the file size.
- Formatting looks different after upload: This can happen with DOCX or image files. To preserve formatting, convert your document to PDF before uploading.
- Upload is slow or fails: Check your internet connection. Try refreshing the page and uploading again. If the issue persists, try a different browser or clear your browser cache.
