How to Upload Files for Signing

When creating a new document in Xodo Sign, you need to upload the file you want to send for signing. This article explains how to upload files, what formats are supported, and how to troubleshoot common issues.

How to upload a file

  1. From the Dashboard or the Documents page, click New Document.

  2. Select your document type: Me Only, Me & Others, or Others Only.

  3. In the file upload section, choose one of the following methods:

    • Click "Choose Files" — opens a file browser to select a file from your computer.
    • Drag and drop — drag a file from your computer directly into the upload area labeled "Drop files here."
    • Import from cloud storage — click one of the cloud icons (Dropbox, Box, OneDrive, or Google Drive) to import a file from your connected cloud account.
    • Add Template — click "Add Template" to use a previously saved template as your document.
  4. Once your file is uploaded, it will appear in the document panel. You can add additional files by repeating the upload step.

Supported file formats

Xodo Sign accepts the following file types:

  • .pdf — PDF Document (recommended for best results)
  • .docx — Microsoft Word Document
  • .txt — Plain Text File
  • .png — PNG Image
  • .jpg — JPEG Image
  • .ppt — PowerPoint Presentation

Tip: We recommend using PDF files whenever possible. PDFs preserve your document's formatting and layout exactly as intended, which helps ensure fields are placed correctly and signing is seamless for recipients.

Uploading from cloud storage

You can connect Xodo Sign to your cloud storage accounts to import files directly. The following cloud storage integrations are available on the New Document page:

  • Dropbox
  • Box
  • OneDrive
  • Google Drive

Click the icon for your cloud service and follow the authorization prompts to connect your account. Once connected, you can browse and select files from your cloud folders.

Troubleshooting file upload issues

File type not supported: Make sure your file is in one of the supported formats listed above. Files in formats like .xlsx, .odt, or .pages are not currently supported. Convert your file to PDF or DOCX before uploading.

File size too large: If your file fails to upload, it may exceed the allowed file size. Compress your PDF or reduce the file size before trying again.

Formatting looks different after upload: This can happen with DOCX or image files. To preserve formatting, convert your document to PDF before uploading.

Upload is slow or fails: Check your internet connection. Try refreshing the page and uploading again. If the issue persists, try a different browser or clear your browser cache.
